What income looks like for a Amazon business

AMZN DISBURSEMENT or AMAZON.COM deposits arrive on the settlement cycle, typically every fourteen days, sometimes irregularly when Amazon holds a reserve against returns. Each deposit is gross sales minus referral fees, FBA fulfillment fees, storage fees, refunds, and any advertising charged to the seller account, so the bank records settled cash rather than sales. Occasionally the arithmetic runs negative in a slow, refund-heavy period, and Amazon charges the card on file instead of depositing; that debit belongs on the P&L as a real cost of the period. Sellers running Shopify or eBay alongside see those processors as separate recurring patterns, each categorized once.

In the template, every deposit gets entered as a positive amount and categorized as Sales & Services Revenue (or Other Income when it genuinely is not sales). The monthly columns then show your revenue pattern at a glance, which is the first thing a lender reads.

The expense categories that matter

Inventory (COGS)

Supplier wires, Alibaba charges, wholesale invoices, arbitrage buys. The biggest line, and the one that decides whether growth is profit or just volume.

Prep & shipping supplies

Poly bags, labels, boxes, tape, and freight or UPS charges sending stock into FBA. Scales with the inventory line and belongs beside it.

Software & subscriptions

The professional selling plan, repricers, keyword and research tools. A monthly stack that quietly grows with the business.

Advertising (where separate)

Amazon PPC is often deducted inside settlements; where it bills the card instead, it shows as its own visible line. Outside ads (Meta, Google) always debit separately.

Prep center or 3PL fees

Sellers who outsource prep or storage outside FBA pay these by invoice, a recurring vendor pattern worth keeping distinct from Amazon's own fees.

The part most templates get wrong

Transfers between your own accounts, credit card payments made from checking, owner draws, and loan principal are cash movements, not income or expenses.
