Client payments arrive as Zelle and Venmo transfers, mobile check deposits, card-processor batches (Square, Stripe), and occasionally platform payouts. On a statement they rarely say "revenue". They say MOBILE DEPOSIT or ZELLE FROM JANE D or SQ* TRANSFER. Recurring deposits of similar size are the tell: weekly or biweekly amounts from the same names are almost always client revenue, because houses get cleaned on a schedule. Commercial accounts look different: fewer deposits, larger amounts, often ACH with the company's name attached, and often on net-30 terms so the cash lands a month after the work. A reconciled P&L collapses all of it into one clean Sales & Services line, with monthly totals that show how steady the client base really is.
In the template, every deposit gets entered as a positive amount and categorized as Sales & Services Revenue (or Other Income when it genuinely is not sales). The monthly columns then show your revenue pattern at a glance, which is the first thing a lender reads.
The expense categories that matter
Chemicals, paper goods, mop heads, vacuum bags. These show up as big-box and janitorial-supply merchants, and they are the cost of goods for a cleaning company.
Helpers paid by Zelle, Venmo, or check. If you pay any helper $600 or more in a year, this line also feeds your 1099 obligations, so it needs to be right.
Gas stations and tolls appear constantly. A cash-basis P&L shows actual spend; the standard mileage deduction is a tax-return decision for your preparer, not a bookkeeping entry.
Janitorial bonds and general liability, a monthly or annual debit. Lenders and commercial clients both want to see it present.
Scheduling apps such as Jobber or Housecall Pro, plus the payment processor's monthly fees.

Transfers between your own accounts, credit card payments made from checking, owner draws, and loan principal are cash movements, not income or expenses. A homemade P&L that counts them reports the wrong profit, and it is the first thing an experienced reviewer notices.
