Platform payouts dominate: SHOPIFY PAYOUT, AMZN DISBURSEMENT, PAYPAL TRANSFER, STRIPE SETTLEMENT, each on its own cycle (Shopify daily or weekly, Amazon biweekly). Each platform is one recurring pattern, categorized once. Payouts arrive net of platform fees and refunds, so the revenue line reflects settled cash rather than gross merchandise sales, and the report's basis note says exactly that. Wholesale or B2B sides of the business show up differently, as larger ACH or wire deposits from named companies, and get their own clean pattern.
In the template, every deposit gets entered as a positive amount and categorized as Sales & Services Revenue (or Other Income when it genuinely is not sales). The monthly columns then show your revenue pattern at a glance, which is the first thing a lender reads.
The expense categories that matter
Supplier payments, wires to manufacturers, Alibaba and wholesale charges. This line decides whether growth is profit or just volume.
Meta, Google, TikTok. Often the largest expense after inventory, and the one worth watching monthly against revenue.
Postage, ShipStation, 3PL invoices. Scales with volume, so it should track the revenue line.
Shopify plan, apps, email tools. A quiet monthly stack that grows one app at a time.
Where fees debit separately from payouts, they get their own visible line instead of vanishing into net deposits.
The part most templates get wrong
Transfers between your own accounts, credit card payments made from checking, owner draws, and loan principal are cash movements, not income or expenses.
