What's inside

Three tabs. Start here explains the method in plain words. Transactions is where you type or paste each line from your bank and card statements: date, description, a category picked from a dropdown, and the signed amount. P&L is the finished statement: set your first month in one cell and twelve monthly columns fill themselves from your transactions, with income, cost of goods sold, gross profit, operating expenses, and net profit each computed by formula. You never type a number on the P&L tab.

The category list is the same chart of accounts RapidPnL uses for paid reports: three income categories, cost of goods sold, and eighteen operating expense categories from advertising to vehicle and fuel. It also includes the categories that do NOT belong on a P&L: transfers between accounts, credit card payments, owner draws and contributions, and loan principal. Those get their own excluded section at the bottom of the statement, so the cash is tracked but profit stays honest.

How to use it

  1. 01Download the monthly PDF statements for every business account you want covered: checking, savings, and any business credit cards.
  2. 02On the Transactions tab, enter each statement line: money in as a positive number, money out as a negative number, exactly as printed.
  3. 03Pick the closest category from the dropdown on each row. When two could fit, pick one and stay consistent from month to month.
  4. 04Set your first month on the P&L tab (one date cell). The twelve columns and every subtotal update themselves.
  5. 05Check your work: for each account and month, the beginning balance plus everything you entered must equal the printed ending balance. If it does not, a line is missing, duplicated, or mistyped.

When a template is enough, and when it is not

A template is a fine answer when you have one account, a light month of activity, and time to be careful. The math is simple; the work is data entry and judgment. It stops being a fine answer when the volume grows: a year of statements across a checking account and a card is commonly 1,500 to 3,000 lines, each needing a category, and a single missed or duplicated deposit quietly corrupts the totals with nothing to warn you.

That reconciliation check in step five is the honest test. If you do it and the numbers tie, your template P&L is credible. If you skip it, what you have is an estimate. Common questions

Is the template really free?

Yes. No email address, no signup, no watermark. Download the file and use it. It is the same category structure RapidPnL uses in its paid reports, so if you ever switch from typing transactions to uploading statements, everything carries over.

Does it work in Google Sheets?

Yes. In Google Sheets, choose File, then Import, then Upload, and pick the downloaded file. The month columns, category dropdowns, and formulas carry over. Numbers, Excel on the web, and LibreOffice open it too.

Why do I enter expenses as negative numbers?

The template uses signed amounts: money in is positive, money out is negative, exactly as your bank statement shows them. That convention lets every total be a plain sum, makes refunds behave correctly in both directions, and matches how accountants check work against statements.

What are the excluded categories at the bottom for?

Transfers between your own accounts, credit card payments from checking, owner draws and contributions, and loan principal are real cash movements but not income or expenses. Counting them is the most common DIY error and it inflates or deflates profit. The template gives them their own section so they are tracked without touching the P&L.

How is this different from typing my numbers into RapidPnL?
