Client payments arrive by ACH, wire, check, PayPal, or Stripe invoicing, usually under the client's recognizable name. Retainers recur monthly at the same amount; project payments are lumpy and irregular. Both are revenue, and the monthly columns show a reader the stability or the honest lumpiness of the practice. Deposits that are not revenue matter just as much here: tax refunds, transfers from savings, and loan proceeds get excluded or flagged, because a single misclassified $20,000 deposit is the fastest way to produce a P&L an underwriter will not believe.
In the template, every deposit gets entered as a positive amount and categorized as Sales & Services Revenue (or Other Income when it genuinely is not sales). The monthly columns then show your revenue pattern at a glance, which is the first thing a lender reads.
The expense categories that matter
The working stack: Adobe, hosting, AI tools, project management. Small monthly debits that sum to a real line by year end.
Subbed-out work and virtual assistants. Payments that also feed 1099 obligations.
Your own accountant, lawyer, or coach.
Client travel and working meals, categorized as spent. Deductibility percentages are your preparer's job at filing time.
Professional liability or E&O where the work requires it, plus health premiums if paid from the business account (flagged for your preparer).
The part most templates get wrong
Transfers between your own accounts, credit card payments made from checking, owner draws, and loan principal are cash movements, not income or expenses. A homemade P&L that counts them reports the wrong profit, and it is the first thing an experienced reviewer notices. This template gives those categories a dedicated excluded section below the P&L: the cash stays tracked, the profit stays honest.
