Square, Toast, or Clover deposits arrive daily during service season and go quiet in the off months. Event organizers sometimes pay appearance fees or reimbursements by check or ACH, and catering gigs land as larger one-off deposits. Cash sales appear only when deposited. The monthly columns of a statement-based P&L show the seasonality honestly, which is what a lender wants to see and what you need for planning the slow months. A year of columns tells you whether the season's surplus actually covers the winter.
In the template, every deposit gets entered as a positive amount and categorized as Sales & Services Revenue (or Other Income when it genuinely is not sales). The monthly columns then show your revenue pattern at a glance, which is the first thing a lender reads.
The expense categories that matter
Restaurant Depot, wholesale clubs, grocery runs. Food cost drives the margin, same as in any kitchen.
The truck burns both. Gas stations and propane exchanges are constant small debits all season.
Commissary rent, health permits, fire inspections. The compliance stack shows up as recurring fees, and reviewers like seeing it present.
Festival slots and market fees, often paid by card or check months before the event happens.
Generator, refrigeration, and the truck itself. This is the line that ambushes a season, and the argument for a reserve.

Transfers between your own accounts, credit card payments made from checking, owner draws, and loan principal are cash movements, not income or expenses.
