This page is about the service, not the software. QuickBooks Live is Intuit's add-on where real human bookkeepers work inside your QuickBooks Online file. It comes in two common shapes as of this writing: Live Expert Assisted, guidance while you keep your own books, typically around $50 per month as an add-on; and Live Expert Full-Service Bookkeeping, where they do the books for you, typically in the low-to-mid hundreds per month and historically from around $300, often tiered by your monthly expenses. Both sit on top of a QuickBooks Online subscription with its own monthly cost.

When QuickBooks Live is the right call

  • You are committed to QuickBooks Online long term and want the monthly close done by a human without hiring independently. That is exactly what the service is for.
  • You need accrual-capable books, invoicing, or payroll living in one system, with a person keeping it current.
  • You want hands-off books all year and the combined monthly cost pencils out for your business.
  • You value a big-company structure over an individual: Intuit manages the bookkeepers, coverage, and the platform in one bill.

When RapidPnL is

  • The deadline is this week. Live starts with onboarding and, for behind books, a cleanup engagement; a lender's Friday deadline does not wait for either.
  • The need is a document, not a subscription. After the loan file or tax handoff is done, a monthly service on top of QBO keeps billing.
  • A year of history is the whole job. Cleanup of old months is Live's paid, slow phase; statements are already complete records, so it is our fast path.

The verdict

QuickBooks Live answers the question 'who will keep my books all year?' RapidPnL answers 'where is my P&L for these months?' If you are staying in QuickBooks Online and want hands-off monthly books, Live is a reasonable way to buy that, cleanup fee and all. If what you actually have is a pile of statements and a deadline, buy the document. Many owners sequence them: RapidPnL for the catch-up P&L now, and the categorized CSV from the same order seeds the QBO file so the Live bookkeeper starts from clean history instead of billing to rebuild it.

What the subscription stack actually costs

QuickBooks Live is never the whole bill. Underneath it sits a QuickBooks Online subscription with its own monthly price, and Full-Service Bookkeeping is often tiered by your monthly expenses, so growing businesses pay more. If the books are messy or behind when you sign up, Intuit commonly requires Live Expert Cleanup first, a one-time paid engagement to get the file to a state the ongoing service will take over. None of these numbers are hidden, but they add up in layers, and the layer you needed on day one (the cleanup) is the one priced separately.

Speed: a close cycle versus a document

Live works on a bookkeeping rhythm. You onboard, a bookkeeper gets to know the file, behind books go through cleanup, and then each month closes after it ends. That rhythm is the point: it produces maintained books, and maintained books cannot be rushed into existence in an afternoon. But it means the distance between signing up and holding a credible year-to-date P&L is measured in weeks, longer if cleanup is involved.

RapidPnL works on document time. Statement PDFs are already complete, bank-issued records with printed beginning and ending balances. Extraction and categorization typically take 3 to 10 minutes, anything uncertain comes to you in a guided 2-minute review instead of being guessed, and the delivered package is the on-screen report, a PDF, an Excel workbook with live formulas, and a CSV ledger that imports into QuickBooks. The reconciliation gate is what makes the speed trustworthy: for every statement, the printed beginning balance plus every extracted transaction must equal the printed ending balance, to the penny, or the statement is flagged. Scope: a system of record versus a report

Where Live genuinely earns its fee is everything RapidPnL deliberately does not do. Books kept in QuickBooks Online can be accrual-capable, carry a balance sheet, and connect to invoicing and payroll, with a human reviewing the file and closing each month. If your lender wants accrual statements or your business runs on QBO invoicing, that scope is the product, and no document service replaces it.

A worked example: the first year, both ways

The numbers below are an illustration, not a quote; Intuit's pricing changes and Full-Service tiers vary with your expenses.

The Live route: a QBO subscription typically starting around $35 per month, plus Full-Service Bookkeeping at, say, $300 per month, is roughly $4,000 for the first year, and books that start out behind typically add a one-time cleanup fee on top. For that you get real scope: a human-maintained QBO file, monthly closes, and reports on demand all year.

The document route: a first order covering three statement-months is $49, and keeping it current the rest of the year on the update plan at $9 per month brings the total to about $130 for the year. For that you get a reconciled, management-use cash-basis P&L, refreshed monthly, with PDF, Excel, and CSV in every delivery.

These are different purchases at different sizes. If a human keeping full books in QBO pays for itself in your business, the $4,000 version is not overpriced. If the need is credible numbers on demand, the smaller purchase is the right shape, and the CSV keeps the door open to Live later without redoing the work.
