The spreadsheet is the honest default: free, fully in your control, and for a dozen transactions a month, genuinely fine. Plenty of solid businesses run on a tidy sheet.

The failure mode is not the spreadsheet. It is the typing. Keying a few hundred statement lines by hand has a known error rate, and a P&L that is silently missing a deposit or double-counting a transfer looks exactly like one that is not. The reason lenders distrust self-prepared spreadsheets is that nothing proves the numbers tie to anything.

When a spreadsheet is the right call

  • Tiny volume: a dozen transactions a month is faster to type than to upload.
  • Custom views: job-level or client-level slicing that a standard P&L does not do.
  • Zero budget, genuinely. Free beats $49 when the stakes are low.
  • You want the closeness with the numbers that hand-entry forces. Some owners learn their business by typing it.
  • The data never leaves your machine, and never uploading statements anywhere is a legitimate preference.

The verdict

Keep the spreadsheet if volume is tiny and nobody external needs to trust the output. The moment a lender, landlord, or preparer enters the picture, or the typing crosses an afternoon, the $49 buys the two things the sheet cannot: your time back, and proof.

Where hand-built sheets actually go wrong

Not in the formulas. SUM works. The errors live in the data: a transposed digit ($1,290 entered as $1,920), a skipped deposit at a page break, a statement month entered twice, a refund typed as an expense. Each one is small, and none of them announce themselves. The sheet totals cleanly either way.

Two structural errors are worse. First, transfers: move $5,000 from savings to checking and a naive sheet books $5,000 of income that never existed. Second, card payments: pay the business card from checking and the same spending appears twice, once as the card charges and once as the payment leaving checking. Both distort the P&L in ways that flatter or damage you at random.

Careful people do build accurate sheets. The problem is that a careful sheet and a careless one look identical, both to you and to a reviewer.

What reconciliation proves, and what it does not

For every statement you upload, RapidPnL checks that the printed beginning balance plus every extracted transaction equals the printed ending balance, exactly, in integer cents. If a statement fails, it is flagged with the size of the gap, and nothing is delivered silently. Orders that cannot be reconciled are refunded in full.

That check proves the data layer is complete: nothing missed, nothing invented, nothing double-entered. It does not prove categorization judgment. A reconciled ledger can still carry a miscategorized line, which is why uncertain items go to a short guided review before delivery and why categories stay revisable for 48 hours after.

It also does not turn the report into audited financials. The P&L is cash basis, for management use. What it gives a reviewer is a specific, checkable claim they can verify against your statements themselves.

The time math, honestly

A single checking statement can carry 40 to 150 lines; add one or two cards and a quarter of statements is routinely several hundred. Typing at a realistic pace, checking as you go, owners report an afternoon or more per quarter, which matches the 2 to 6+ hour range in the table. A year is somewhere between a lost weekend and a week of lost evenings.

A worked example: one year of statements

Common questions

Can't I just export CSVs from my bank into a spreadsheet?

CSV exports skip the printed beginning and ending balances, so nothing proves the export is complete. Statement PDFs carry the balances, and that is what makes to-the-penny reconciliation possible at all.

Do I still get a spreadsheet at the end?

Yes. An Excel workbook with the P&L on live formulas (edit a line and totals recompute), the full categorized ledger with filters, and a 1099 review sheet, plus a CSV for imports.

What does 'reconciled' actually prove?

That for every statement, the printed beginning balance plus every extracted transaction equals the printed ending balance exactly. In other words, nothing was missed, invented, or double-counted in the data your P&L is built from.

What if my statements are scanned images instead of downloaded PDFs?

Extraction needs text-based PDFs, the kind your bank's website produces under Statements & Documents. Scans and screenshots often fail the reconciliation check. If you only have paper, download the official PDFs from online banking instead.

Can I still customize the result the way I would a spreadsheet?

Yes, within limits. The Excel deliverable uses live formulas, so you can edit lines and watch totals recompute, and the ledger CSV supports any pivot or filter you would build by hand. The P&L format itself stays accountant-shaped on purpose.
